Lesson 9  Organizing Your Mail

Creating Mail Folders
     Folders are storage areas in which you can group and store e-mail messages that are alike in some way. They allow you to access and organize your messages easily.

     WebMail has created some folders for you. From the Inbox window, click on the down arrow next to the Folder box. You will see a pull-down menu of the existing folders. You do not need to file mail into these folders as WebMail does this automatically.

To create a new folder, use the following procedure:

  1. Open the Folder window by using the File button on the tool bar from the Inbox window. (Note: The Folder window can also be accessed from the Read Message window.)
  2. In the Folder window, type the name of the folder that you want to create in the Folder box (see example below). Folder names should be descriptive and unique so that you will be able to locate your messages in the future.
    Note: If you are on the K12 server, you will need to put the word "Inbox", followed by a period, in front of the name of your folder. Example: Inbox.sciencedept.

  3. In the Description box, type a short description of the folder.
  4. Use the Create button to create your new folder.

  5. WebMail then returns to the Messages box and you will be in this newly created folder. To return to the New Mail Inbox, select New Mail-Mail Inbox from the pull-down menu.

     Create at least two new folders in which to organize your mail.

Filing Mail in Folders
     To file a message in a folder, use the following procedure:

  1. While you are viewing the message that you want to file, click on the File button. WebMail displays the Folder window.
  2. In the Folder window, select the desired folder from the pull-down list.
  3. Click on the Select button. WebMail files the message and returns to your previous window.

     As you receive mail, practice filing it in the folders that you have created.

Viewing the Messages in a Folder
     To list the messages that are stored in a folder other than your current folder, select a folder from the pull-down list on the status bar of the New Mail Inbox and use the Go! button.

     WebMail displays the messages in the folder that you selected:

Deleting a Folder
Note: In order to delete a folder on the K12 Server, you must have atleast one piece of mail in that folder. (I do not know why!!!)

     Use the following procedure to delete a mail folder:

  1. Open the Folder window by using the File button on the tool bar from the Inbox window.
  2. Click on the drop down menu and select the folder you want to delete.
  3. Click on the Delete button.

Assignment WebMail 9-D - Deleting Folders:
     Practice deleting a folder from your Folder window (however, remember that there must be atleast one e-mail filed in the folder in order to do this - if you are on the K12 server).

Assignment WebMail 9 - Working with Folders:
     Once you have completed all 4 assignments for Lesson 9, attend an Open Lab session with your trainer so that he/she can check this assignment. Show your trainer that you can create a folder, file a message in a folder, view the messages in a folder, and delete a folder.
